Kalogon, a smart seating startup based in Melbourne, seeks a Sales Operations Coordinator to help us create a smooth ordering experience for our customers. The ideal candidate will have experience in accurate document production, specific process improvement, and be flexible.

What You’ll Do

Regular Deliverables

  • Produce quotes for sales that reflect the needs of our customers within our expected time frames with 100% accuracy
  • Input orders once we receive POs with accuracy into our internal production system
  • Create invoices when orders are shipped
  • Build strong internal relationships so that you understand all the things you need to about our products, processes, and team
  • Help sales team with clean processes and easy ways to validate outgoing information
  • Assist finance and sales teams as they compile monthly commission reports, reconcile payments, based on quoting trends you observe
  • Resolve discrepancies between sales, finance, and customer
  • Answer internal questions about quotes and invoices
  • Work closely with Production, Sales, and Finance on product returns and help to track item disposition
  • Work with Finance and Sales teams of return processing for financial purposes
  • Be extremely familiar with product offerings and configurations and collaborate with sales to ensure what is being requested is possible
  • Track time to quote and articulate blockers to and opportunities to improve speed, accuracy, and responsiveness

Potential Ad Hoc Projects

  • Work with finance team to ensure we properly add new dealers (customers) to QBO (Quickbooks Online)
  • Work with finance, sales, and production teams on process improvements for quoting accuracy & timeliness for awesome internal communications
  • Help us consider how we label things for clarity
  • Work with marketing on how invoices look and the language in them

Future Opportunities

  • Learn about the CRT market and how it operates
  • Travel with team and get to know our customers
  • Assist VP of Finance and VP of Marketing & Sales with analysis that can help us to improve our forecast by sharing observations of trends in quoting
  • Dig into systems that we can use for quoting and work with internal teams to build out systems and document processes

Skills & Experience Required

  • 2 - 3 years of experience
  • Ability to handle confidential information
  • Accurate production of documents that contain complexity and confidential information
  • Facility with numbers to be able to gut check items as you produce them
  • Interfacing with multiple parts of a business
  • Great relationship builder who can communicate well & accurately with different types of team members
  • Ability to manage multiple projects without missing key deadlines
  • Interest in learning human anatomy and the scientific terminology around it and helping people live healthier, seated lives
  • Must be familiar with office tools such as Google Workspace and Drive, MS Office or other similar software
  • Bonus: familiarity with CRM tools such as Pipedrive, and financial tools like Quickbooks

Role reports to: VP Finance

Role works with: Finance, Sales, Production, Product

Role location: HQ2 - predominantly in office, limited availability to WFH
